Below lists some of the most frequently asked questions on Clockspot.
Getting StartedQ. Where do employees clock in from?
A. Employees clock in from the dedicated URL you specified when you created your account (http://mydomain.clockspot.net, where "mydomain" is the domain you specified).
To log in, simply click a username, enter the password, and press enter.
Q. How do I add an employee?
A. Log in to your administrator account and click the "Users" tab. Under the subtabs, click "Add user". Fill in the information in steps 1 and 2, selecting "Employee" as the type of user, then click "Add user". You may view your newly added employee by going to the "Active users" subtab.
Q. How do employees clock in and out?
A. Once you are logged in as an employee, you may click the "Clock in" button under the "Time Clock" tab. When you are ready to clock out, simply click the "Clock out" button. You may clock in and out as many times a day as you wish.
Q. How do I log out?
A. You may log out by clicking "Log out" in the upper right hand side of the page. You will be redirected back to the login page upon successful log out.
FeaturesQ. How do I generate a payroll?
A. Click "Generate payroll" under the "Payroll" tab.
Select a start and end date for your pay period. For example, if you have a weekly pay period, you might select Sunday through Saturday. If you have a semi-monthly pay period, you might select the 1st and the 15th, or the 16th and the 30th.
Select the employees you want to generate payroll for, or click "Select all" to select everyone. You may then specify options for overtime and tax, then click "Calculate payments".
Once the payments load, you may add comments and minor adjustments (tips, bonuses, deductions) to individual payments. If everything looks okay, click "Record payments" to record the payments to the payroll history.
Q. How do I track where employees clock in from?
A. In your admin account, click "Clockspots" under the "Settings" tab. Here you can add the computer you are currently using as a valid place to clock in (called a clockspot). For the clockspot name you could enter something like "Computer 1" or "Atlanta Office". You will then be able to monitor whenever employees clock in from this specific computer. You will see a
You may also restrict employees from clocking in from unknown clockspots by going to "General settings" under "Settings" and clicking "Only allow employees to clock in from known clockspots". Q. How do I approve a timesheet?
A. There are 3 steps in making sure a clock time is valid:
Step 1: Did your employee clock in from a valid location? If not, a Step 2: If both clock in and clock out locations are valid, a Step 3: Look over the timesheet. If everything looks okay, click "Approve clock times". You can also click the Q. How do I track vacations, sick days, holidays, paid leave, etc.?
A. Click "Add absence" under the Timesheet tab. Select the employee(s) who will be absent, and choose an absence type (vacation, sick day, holiday, etc.). You may enter the number of paid hours credited to the employee for each day absent, or enter "0" if they are not paid during their absence.
Then select all dates that the employee(s) will be absent. You may select multiple dates. Click "Add absence" to record the absences.
Q. Can employees clock in by phone?
A. Absolutely! Call toll-free 1-866-721-1085 to clock in by phone. Your employee MUST have a numeric password in order to use this option.
To enable this option, click "Allow employees to clock in/out by phone" in "General settings" under the "Settings" tab.

Q. What is a shift report?
A. Shift reports are a way for employees to document what they accomplished during their shift. This allows employers to keep track the business' daily operations. To view a shift report, click the
Q. Can I manually enter in an employee's time?
A. Yes. If an employee forgets to clock in, or if you need to enter in a time later, you may do so by clicking "Add clock time" under the "Timesheet" tab. Choose the employee you want this clock time to count towards, select the time and dates, and click "Add clock time". You may also choose not to include a clock out time by checking "Don't set a clock out time".
Q. Can employees clock in/out for lunch and breaks?
A. Yes. There is no limit to how many times an employee can clock in and out a day. Whether it's for break, lunch, or just due to a disjoint schedule, Clockspot will handle the multiple clock times.
Q. Can I browse old clock times by date?
A. Yes. Go to "Daily view" under the "Timesheet" tab. Click the "Browse calendar" button in the top right hand corner of the page. Here you can browse clock times using a graphical calendar - simply click on the start date.
Q. Can I add more administrators?
A. Yes. Go to "Add user" under the "Users" tab. In the field called "Type of user", click "Administrator". Fill out the other required fields, then click "Add user".
Q. Why do my clock times show up with red stripes?
A. Clock times with greater than 14 hours of work, or less than 60 seconds of work will show up in red stripes. This is so you will notice incorrect times right away. Once you approve the clock time (or correct it), it will be displayed normally.
Q. The login screen lists too many employees. Can't I just type in a user name?
A. Absolutely! Click "General settings" under the "Settings" tab. Here you may choose a different login style.
For 10-30 employees, you might want to list employees by name using small icons. For 30+ employees, you may set the login screen to ask for a user name. Click "Update settings" to save the changes.
Payment OptionsQ. How and when are payments made?
A. Once you activate your account, Clockspot will automatically bill you every month, so you don't have to worry about a thing.
There are no set up fees or other costs up front. Additionally, the first 14 days are completely free.
Q. Does it cost more to add more employees later?
A. The rate is determined at the time of payment, based on the number of employees and managers you have at the time. So for example, if this month you have 5 employees and 1 manager, you would pay $25 for this month. If by next month you have 10 employees, you would pay $35 for that month.
Q. My 14-day free trial is almost up. How do I subscribe?
A. Go to "My subscription" under the "Settings" tab. Here you may enter your credit card information to activate your account.
Once activated, your account will be immediately available for use.
PrivacyQ. Will Clockspot spam me?
A. We take our users' privacy seriously. We do not spam our users, and will only contact you if it is relevant.
Q. Will Clockspot sell my data?
A. Never! We will not disclose or profit from any personal user-identifiable data. Please read our Privacy Policy for more details.
Q. Is Clockspot HIPAA compliant?
Clockspot values the privacy and security of its clients. We use state of the art encryption security software. For healthcare facilities, Clockspot follows a strict protocol to ensure confidentiality of patient information records and adheres to the regulations laid down by HIPAA regarding Electronic Transmission of Patient Information.
Problems and BugsQ. The website looks messed up in my browser. Am I supported?
A. Currently we support Safari, Firefox 1.5+, and IE 6+. However, we highly recommend using either Firefox or IE 7.
