Major Clockspot Update.

We have completely reorganized the backend of Clockspot so that it is faster, more efficient, and secure! You should experience a significant improvement in speed over the previous version.

We have also updated the Job Codes section, which can be enabled in your account settings.

Employees may now view pending/accepted/denied absence requests.

We have added the ability for employees to view the status of their absence request. To view this, log in as an employee and go to the “Absence request” page under the “Time clock” tab. Click on “View requests” on the upper right corner of the page. On this page, employees will be able to see when their absence request was denied, accepted, or if it is still pending.

New feature - Approve all absence requests

By popular request, we have now added the ability to approve all absence requests in bulk. Normally a manager would manually approve each one, which can be time consuming if there are many entries. Now you can simply press the “Approve all requests” button, enter the number of paid hours to set for each entry, then approve all!

A faster and more reliable Clockspot!

We are taking measures to ensure the downtime we experienced this weekend will not occur again.

To ensure the continued reliability of Clockspot.net, we are migrating our servers to a faster and more reliable hosting company. The new servers will feature fully redundant hardware, as well as upgrades in processor speed, RAM, and bandwidth.

We will be migrating our servers this Saturday, from 2:00-4:00am EST. You may experience downtime during this time. If this will cause you any inconvenience, please let us know.

How to change your contact information.

Changing your personal contact information.
Go to the “Users” tab and click on the user you want to edit. Under “Change basic information” you will see options to edit contact information. Once you are finished, click “Update basic information” to register the change.

Changing business contact information.
Go to “Business info” under the “Settings” tab. Under “Contact information” you will see options to edit contact information. Once you are finished, click “Save information” to register the change.

Changing contact information on your credit card.
Go to “My subscription” under the “Settings” tab. You should see a link to “Edit this credit card” if you have activated your account. Follow this link and you will see options to edit contact information. Once you are finished, click “Update credit card” to register the change.

How to generate a weekly, monthly, bi-monthly, etc. report

Clockspot allows you to generate a timesheet or payroll report for any date range. Whether you pay your employees weekly, bi-weekly, monthly, or bi-monthly, Clockspot allows you to generate the report effortlessly by simply selecting the start and end date of the pay period. There is no need to “set up” your payroll, or to configure a plethora of settings.

Generating the payroll
Go to “Generate payroll” under the “Payroll” tab. Select a start and end date for your pay period. For example, if you have a weekly pay period, you might select Sunday through Saturday. If you have a bi-monthly pay period, you might select the 1st and the 15th, or the 16th and the 30th. Select the employees you want to generate payroll for, or click “Select all” to select everyone. You may then specify options for overtime and tax, then click “Calculate payments”. Once the payments load, you may add comments and minor adjustments (tips, bonuses, deductions) to individual payments. If everything looks okay, click “Record payments” to record the payments to the payroll history.

Generating a timesheet report
Go to the “Daily view” under the “Timesheet” tab. Click “Browse calendar” in the upper right hand corner of the page. Here you may select the start and end date of the period you want to generate a report for. Once the data loads, you will see options to print the timesheet, or export to Excel or PDF.

New feature - Upload your company logo!

We have now added the capability to upload a company logo. To upload a logo, go to “Business info” under the “Settings” tab. Once uploaded, you may show this logo on the login page (instead of the company name in text) by enabling it in your account settings.

New Feature - Prevent early clock ins

You now have the option to restrict employees from clocking in early, based on their work schedule. To enable this option, check “Don’t allow employees to clock in earlier than their scheduled time.” in your account settings.

To add a schedule for an employee, go to the “Users” tab and select an employee to edit. Towards the bottom, you will see the form to input an employee schedule.

How to accrue vacation time, holidays, sick days, etc.

To accrue vacation time, holidys, sick days, etc. for employees, go to the “Absence view” under the Timesheet tab. Here you will be able to view each employee’s available hours for various types of absences. Currently we provide two ways to accrue absence time:

1) Accrue over time

This will allow you to accrue x hours every y number of days, starting on a given day.

2) Accrue based on employee work hours
This will allow you to accrue x% of an employee’s work hours, starting on a given day.

You will be able to accrue and track available hours for various types of absences, including vacations, holidays, sick days, personal time, training, paid leaves, etc.

If you need to edit an employee’s available hours, click the edit icon to the right of the entry. This will allow you to manually enter an employee’s available hours.

Employees may view their available hours by logging into their account, and clicking “Absence Request” under the “Time Clock” tab. Here they may submit an absence request, which will get sent to their manager to be approved or denied.

Employees may now submit absence requests to managers, detailing the days they want off work. Managers may then review the days requested, and either choose to deny the request, or approve it. New absence requests will appear in the right menu, which managers may click to review.
